Data Backup & User Responsibility Policy

You are responsible for maintaining your own data backups. EstimatorPRO is a cloud-hosted service and we work to keep it running, but no hosted service is immune to data loss. Exporting and saving copies of your critical business data is your responsibility.
Our Responsibility
pascat graphics and marketing company operates EstimatorPRO on shared hosting infrastructure and makes commercially reasonable efforts to:
- Keep the service available and functional
- Protect data from unauthorized access
- Perform routine server maintenance with minimal disruption
- Notify users of planned downtime when practicable
We do not guarantee 100% uptime, zero data loss, or that any specific backup of your data exists at any given moment. We are not a managed backup service.
Your Responsibility
You are responsible for:
- Exporting your data regularly — at minimum weekly, or daily for high-volume operations
- Maintaining copies of your client records, estimates, invoices, and any data you cannot afford to lose
- Downloading signed contracts and key documents to your own device or cloud storage
- Verifying that exports completed successfully
Do not treat EstimatorPRO as your only copy of business-critical data. Treat it as an active working system, not an archive.
How to Export Your Data
- Estimates and Invoices: Open any estimate or invoice and use the download or export option to save a PDF to your device
- Client List: The Clients page includes an export function — download your client list as a CSV regularly
- Time Entries: Time tracking records can be exported from the Time section
- Measurement Log: The Measurement Log exports as a CSV from the measurement tool
- Signed Contracts: Download each signed contract PDF immediately after signing and store it in your own file system
- Complete Data Export: Contact support@estimatorpro.co to request a full export of your account data. We will provide available data within 10 business days.
What Happens If There Is a Data Loss Event
In the event of a server failure, database corruption, or data loss:
- We will work to restore service as quickly as possible
- We will notify affected users as soon as practicable
- We will attempt to restore from the most recent available server backup if one exists
- We cannot guarantee that a usable backup will exist or that all data will be recoverable
- We are not liable for business losses resulting from data loss — see the Limitation of Liability section in our Terms of Service
Customer Data You Store
You store your customers' personal information in EstimatorPRO — names, phone numbers, addresses, email addresses, and financial information related to their accounts with you. This data belongs to you and your customers. You are responsible for:
- Maintaining the confidentiality of your login credentials
- Not sharing your license code with unauthorized parties
- Understanding your obligations under applicable privacy laws regarding your customers' personal information
- Maintaining your own copies of customer records

Offline Data
EstimatorPRO uses an offline-first architecture. Some data is stored locally on your device for use without an internet connection. This local data syncs to our servers when connectivity is restored. Local data on your device is not a substitute for cloud backup — if your device is lost, stolen, or damaged before a sync occurs, unsynchronized data may be lost.
Account Deletion and Data Retrieval
If you cancel your account, your data is retained for 90 days. Export everything you need during this window. After 90 days, data is permanently deleted and cannot be recovered. See our Data Retention Policy for full details.
