Bring Your Own Device (BYOD) Policy

Effective date: June 1, 2026

Notice to Business Owners: BYOD policies intersect with employment law, privacy law, and data security regulations. Requirements vary by state. This template is for informational purposes and does not constitute legal advice. Consult an employment attorney before implementing.

1. Purpose

This policy governs the use of personally-owned phones, tablets, and other devices ("personal devices") to access and use EstimatorPRO for [Company Name] business purposes, including clocking in and out, accessing the crew map, and completing work-related tasks.

2. What EstimatorPRO Accesses on Your Device

When you use EstimatorPRO on a personal device, the application accesses only what is necessary for its function:

  • GPS / Location: Required for clock-in location recording and the Property Map. You will be prompted to grant location permission when you first use these features. You can deny location permission; you will still be able to clock in, but location will not be recorded.
  • Camera: Required only if you use the AI Tree Identification or job photo features. Camera access is requested only when you tap a camera function. The app does not access your camera roll or existing photos without your action.
  • Internet connection: Required to sync data to the EstimatorPRO servers.

EstimatorPRO does not access your contacts, messages, email, other installed applications, microphone, call history, or any other data on your device.

3. Company Data on Personal Devices

When you use EstimatorPRO on a personal device, business data (estimates, client records, schedules, time entries) is temporarily stored locally on your device for offline functionality. This data belongs to [Company Name] and must not be shared, copied, or retained after employment ends.

Upon termination of employment or at the Company's request, you agree to uninstall EstimatorPRO from your personal device. The Company may remotely revoke your license code, which will prevent further access to company data through the app.

4. Data Plans and Connectivity

You are responsible for your own mobile data plan costs. EstimatorPRO is designed to minimize data usage through offline-first functionality — most data syncs in small batches when you have a connection. The Company [does / does not] provide a mobile data stipend for crew members using personal devices for work. [Delete or complete the applicable option.]

5. Security Responsibilities

If you use a personal device for company work through EstimatorPRO, you agree to:

  • Keep your device locked with a PIN, password, or biometric when not in use
  • Keep the device operating system updated
  • Not share your EstimatorPRO license code with anyone outside the company
  • Report a lost or stolen device to [Company Owner Name] immediately so the license can be revoked
  • Not root or jailbreak a device used to access company data

6. Reimbursement

Some states, including California (Labor Code § 2802), require employers to reimburse employees for a reasonable portion of personal device costs when required for work. [Company Name] policy on reimbursement: [insert your policy here — e.g., "$X per month stipend" or "reimbursement upon request with documentation" or "company devices are provided for crew who require them"]. Consult your state's labor laws and an employment attorney for your specific obligations.

7. Voluntary Participation

8. Privacy

The Company will not remotely access personal content on your device. The only data the Company can see through EstimatorPRO is data you entered into the app while performing work duties. The company cannot see your texts, calls, photos, emails, or any other personal content.

BYOD Acknowledgment

I acknowledge that I have read and understand the BYOD Policy of [Company Name]. I consent to using my personal device to access EstimatorPRO for work purposes under the terms described above, and I understand what data the application accesses on my device.
