How Time Tracking Works

Time entries are logged through a simple form: select the date, choose the crew member from your roster, their role auto-fills, enter regular hours and any overtime hours, and link the entry to a job number. That's the whole entry. Overtime automatically calculates at 1.5x the crew member's hourly rate.

GPS Clock-In

When a crew member clocks in, their GPS location is recorded at that exact moment. This creates a time-stamped, location-verified record of when they arrived at the job site. The coordinates are stored with the time entry. You can verify crew arrivals without calling anyone — the record is in the app.

What You Track

Four Hourly Rate Settings

Each crew member can have up to four different hourly rates — regular, overtime, equipment operation, and a custom rate for specialty work. The correct rate pulls in based on how you categorize the hours in the time entry.

Connecting to Payroll

Time tracking data in EstimatorPRO is an internal record for your reference and job costing. For payroll processing, the weekly summaries give you the hours per crew member ready to enter into your payroll system. QuickBooks sync (Crew plan) moves financial data between the platforms.

The Live Crew Map

On the Crew plan, clocked-in crew members appear on the Live Crew Map with their real-time GPS position. The time tracking and live map work from the same clock-in event. One action gives you both the time record and the map visibility.
